How to Add Calendars to Outlook:
The below guide contains instructions on how to add the School Calendars to Outlook (Classic), Outlook (New), Outlook (Web) and Outlook (Mobile/iPad).
The main school Calendars for each school are as follows:
- Broomwood Boys: BB@broomwood.com
- Broomwood Girls: BG@broomwood.com
- Broomwood Pre-Prep: PP@broomwood.com
Outlook (Classic)
Outlook Classic is the default App available on all computers. To add a Calendar to this Outlook, follow the below steps:
1. Open Outlook then Click on the Calendar Icon to open the Calendar window.
2. Next
Click on the Add Calendar Icon at the top of
the screen, then select From Address Book from
the drop-down menu:
3. The Address Book will appear. By Default, you will see the “Offline Global Address List” change the Address Book to “Global Address List”:
4. Next,
find the Calendar. Enter the email address of the
school calendar you wish to add (for example: BB@broomwood.com) thenclick the arrow to search. You should see the Calendar
appear in the search results below:
5. Double-click on the Calendar to confirm your selection, then Press OK. The Calendar will add itself to your Outlook and will appear under the “Shared Calendars” list to the left of your screen. Tick and Untick the Calendar to Show/Hide the details.
Outlook (New)
If you are using the “New” version of Outlook, there are some slight differences to the menus, but the Add Calendar process is more or less the same:
1. Open Outlook then Click on the Calendar Icon to open the Calendar window.
2. Next Click on Add Calendar ,on the left side of the screen (above your Calendar list), then select Add from Directory from the available options.
3. With the “Add from Directory” menu selected, Select your Email from the drop-down menu, then enter the Calendar email address in the search field below. Next, under the “Add to” menu, select “My Calendars” and then click Add:
4. The Calendar will then Add itself to the “My Calendars” list in your Outlook. Tick and Untick the Calendar to show/hide it’s contents.
Outlook (Web)
The Web App version of Outlook is very similar to the New version of Outlook. To add Calendars via the Web App, follow the below steps:
1. With the Outlook website open, Click on the Calendar icon on the left hand side of the web page.
2. Next
Click on Add Calendar ,on the left side of the screen
(above your Calendar list), then select Add from
Directory from the available options.
3. With the “Add from Directory” menu selected, Select your Email from the drop-down menu, then enter the Calendar email address in the search field below. Next, under the “Add to” menu, select “My Calendars” and then click Add:
4. The Calendar will then Add itself to the “My Calendars” list in your Outlook. Tick and Untick the Calendar to show/hide it’s contents.
Outlook (Mobile/iPad)
Download the Outlook App on your Android or IOS mobile device, sign into it with your school account and then follow the below:
1. With the App open, tap on the Calendar Icon in the menu at bottom of the screen.
2. With the Calendar button selected, Swipe from the Left side of your screen to the Right side to reveal the hidden Calendar Menu. Here you can add, hide, show or delete Calendars as well as change the Calendar colours.
3. Next, tap the Add Calendar icon in the top-left of the screen and select Add Shared Calendars from the following available options:
4. Enter the Calendar Email address in the Search Field and then tap the icon next to the Calendar you want to add:
5. The Calendar will then Add itself to the “People’s Calendars” list in your App. Tick and untick the Calendar’s checkbox to show/hide it’s contents.
Notes:
- There are multiple Calendars per school, please ask your teams which Calendars are used and what their purpose is for.
- Staff can add each other’s Calendars but you will not have permissions to view their details or make any changes. For elevated permissions on Calendars, please contact the helpdesk.
- You only have to add a Calendar once via any of the above options for it to remain on your account.
- Outlook (new) and Outlook (web) can stack multiple calendars under one view. Outlook (Classic) does not contain this feature.
- Please do not create your own Calendars. If you would like a new Calendar created, please contact the helpdesk.
- Please add the all 3 school Calendars to your Outlook even if you do not work at that particular school. This enables you to view all events across all sites.
- Notify the helpdesk of any obsolete Calendars so they can remove them from the Address Book.
